Connect Gmail / Google Workspace

Connect Gmail or Google Workspace to Prosyo in one click, and fix the "Access blocked" / admin_policy_enforced error in the Google Admin console.

On this page

Connect a Gmail or Google Workspace mailbox with Google sign-in. Prosyo sends your email steps from it and syncs replies into your Inbox. You don't need a password or any server settings.

Who can connect one#

Gmail and Outlook connect on a paid plan with an email seat, or with an extra LinkedIn/email seat:

  • Multichannel: your plan's email seat. It holds one mailbox, Gmail/Outlook or SMTP/IMAP, whichever you connect.
  • Agency / Team: one email seat per billed seat, each holding one mailbox.
  • Enterprise and Penny SDR All-in: the plan's email seats.
  • Extra LinkedIn/email seats, bought on Settings → Billing on Multichannel, Agency / Team and AppSumo plans. Each one holds a Gmail/Outlook mailbox or a LinkedIn account. (AppSumo tiers 5 and 6 include Gmail/Outlook for the first 30 days.)

Starter and the Starter trial don't include Gmail/Outlook. During the trial you can use its one custom SMTP/IMAP mailbox instead. Paid Starter is LinkedIn-only.

Owners, admins and members can connect a Gmail account. Owners and admins see every account. Members and viewers see only their own: the accounts they connected or that were assigned to them. Viewers can't connect or change accounts.

Upgrade

On Starter, move to Multichannel or Agency / Team to connect Gmail/Outlook. On an AppSumo plan, or for more mailboxes on Multichannel or Agency / Team, add an extra LinkedIn/email seat. See plans.

Connect#

  1. Go to Settings → Accounts.
  2. In the Gmail / Outlook card, click Connect account (or Connect another mailbox if you already have one), then choose Google in the connection window.
  3. Sign in with the Google account you want to send from.
  4. Review the permissions and click Allow. Prosyo needs to send email and read replies to your campaign threads.
  5. You're returned to Settings → Accounts. The mailbox shows Connecting, then Healthy.

If the card shows Purchase extra seat instead, your email seats are all in use (an SMTP/IMAP mailbox uses one too). Upgrade to unlock means your plan has no email seat, and Choose a plan means the workspace has no paid plan right now (for example a trial without autopay, or a plan that has ended).

Error: "Access blocked" or "This app is blocked by your admin"#

Google Workspace admins can restrict which third-party apps can access company mailboxes. If yours does, Google shows an error such as:

  • Access blocked: [app name] is not approved by your organization
  • This app is blocked. This app tried to access sensitive info in your Google Account. To keep your account safe, Google blocked this access.
  • Error 400: admin_policy_enforced

Note the app name and Client ID in the error message. Your admin needs them. Click error details on the Google screen if the Client ID isn't shown.

What your Google Workspace admin does#

  1. Sign in to the Google Admin console at https://admin.google.com.
  2. Go to Security → Access and data control → API controls.
  3. Click Manage third-party app access.
  4. Click Configure new app (in older versions of the console: Add app → OAuth App Name Or Client ID).
  5. Search for the Client ID from the error message, then select the app.
  6. Choose who it applies to (the whole organization, or the sales team's organizational unit).
  7. Set access to Trusted, then click Finish.
  8. Wait a few minutes, then try Connect account → Google in Prosyo again.
Tip

Copy this section into an email to your IT team, along with a screenshot of the error.

Error: "Google hasn't verified this app"#

Click Advanced, then Go to [app name]. Only do this when you started the connection from Settings → Accounts in Prosyo.

If the mailbox wasn't connected#

If you cancel, or Google refuses the sign-in, Settings → Accounts says "Your mailbox wasn't connected". Try again, or connect the same mailbox as a custom SMTP/IMAP mailbox with an app password.

Good habits#

  • Warm up a new Gmail mailbox gradually: start near 25 emails per day.
  • Set up SPF, DKIM and DMARC for your domain. Google Workspace admins can find DKIM under Apps → Google Workspace → Gmail → Authenticate email.
  • Don't send the same campaign from your main company mailbox if you can use a secondary domain.

Disconnect#

An owner or admin clicks Disconnect next to the mailbox on Settings → Accounts. Campaigns that send from it move their prospects to another email account selected in the campaign, or pause until you choose one. Conversations already in your Inbox are kept. You can also remove access from Google at https://myaccount.google.com/permissions.

When your plan ends, Prosyo disconnects Gmail mailboxes. After you renew, connect them again. See When your plan ends.
