Client workspaces

A workspace per agency client on Agency / Team, Enterprise or the AppSumo agency deal: free client logins, one shared allowance, archive and restore.

On this page

On Agency / Team (and on Enterprise and the AppSumo Lifetime Agency deal), every client can have their own workspace. A client workspace has its own people, website and Intent, ideal customer, connected accounts, prospects, lists, campaigns, inbox, integrations and settings. Nothing in one client is visible from another.

Client workspaces run on your agency's plan. You don't buy a plan for each client.

Add a client#

  1. In your agency workspace, go to Settings → Clients. You can also open the workspace menu and choose Manage clients.
  2. Click Add client.
  3. Enter the Client name and pick their Timezone. Add their Website and Ideal customer if you have them; you can fill them in later.
  4. Click Add client, then Open to start working in it.

Only agency owners and admins can add, rename, archive or restore clients.

Set the client up#

Inside the client workspace, set it up the same way as any Prosyo workspace:

  • Settings → Workspace: workspace name, company website, timezone, booking link and AI instructions in the client's voice.
  • Settings → Workspace → Ideal customer and What you sell: what Intent and AI writing use.
  • Settings → Accounts: connect the LinkedIn accounts and mailboxes that send for this client.
  • Intent: the client's website code, so their own visitors become leads. See Intent.
  • Integrations: the client's HubSpot or Pipedrive, a Slack channel for their replies, webhooks and Zapier.

Invite the client's people#

In the client workspace, go to Settings → Workspace and invite people by email as Admin, Member or Viewer.

  • The client's people do not use an Agency / Team seat. Invite as many as you need.
  • They see only that client's workspace. They never see your agency workspace or your other clients.
  • A Viewer is a good fit for a client who only wants to watch progress: they can read prospects, campaigns and replies but change nothing.
  • An Admin on the client side can change that workspace's settings and integrations and invite more of their own people. They can't change billing, and they can't remove anyone from your agency.

Your agency team#

Agency roleClient access
OwnerEvery client, as owner
AdminEvery client, as admin
Member or ViewerOnly the clients you share with them

To share a client with an agency member, open Settings → Clients, click Team access on the client, and pick Member or Viewer next to their name. Pick No access to take it away.

Access follows the agency: if someone leaves your agency, or stops being an owner or admin, they lose access to the clients that came with that role straight away. When someone loses access to a client, their Penny's computer in that client is erased.

Switch between clients#

Open the workspace menu at the top of the app. Your own workspaces are listed first, then Clients of your agency. Pick one and the dashboard, prospects, Intent, campaigns, inbox, integrations and settings reload for that client.

Owners and admins can also open Manage clients from the same menu.

One shared allowance#

Your agency workspace and all its clients share one allowance from your agency's plan:

  • LinkedIn and email seats (connected accounts)
  • Active campaigns
  • New people a month (imports)
  • AI credits
  • Intent people a month
  • Storage
  • Minutes on Penny's computer, if your plan includes them

So with 5 Agency / Team seats you can connect 5 LinkedIn accounts and 5 mailboxes in total, spread across the agency and its clients however you like. Buy more seats or extra LinkedIn/email seats in your agency's Settings → Billing.

At the top of Settings → Clients, owners and admins see the Shared allowance box: LinkedIn accounts, Mailboxes and Agency credits this month. Each client's row shows its people, connected accounts, running campaigns, prospects, replies this month and the credits it used this month. In the agency and in each of its clients, Video → Storage says "Shared with your agency" and how much the workspace you're in uses.

Agents and connected apps for Penny count per workspace, so each client can have its own.

Billing#

Plans, seats, invoices and credit packs are managed in your agency workspace only. Inside a client workspace, Settings → Billing shows which plan it runs on, "Billing is managed by" your agency, and the shared credit balance. The plan card in the client's sidebar says Through your agency.

Billing emails go to your agency's owner. Intent digests and Penny SDR notices for a client go to the client's own admins, or to your agency's owners and admins when the client has no admins of its own.

Archive a client#

When you stop working with a client, archive it from Settings → Clients:

  • its running campaigns pause, and sending and Intent stop,
  • nobody can open it until you restore it,
  • its prospects, conversations, settings and people are kept.

Connected LinkedIn accounts and mailboxes keep using their seats until you disconnect them. Disconnect them in the client's Settings → Accounts before you archive if you want the seats back.

Restore brings the client back. Campaigns stay paused until you resume them.

If your plan changes#

If your agency moves to a plan without client workspaces, client workspaces stop sending and their campaigns pause. You can't add or restore clients until you're on a plan with client workspaces again. Nothing is deleted.

If your agency's plan ends unpaid (or a cancellation reaches its end date), every client is paused with the agency:

  • campaigns, Intent playbooks, LinkedIn watching and Penny SDR pause,
  • LinkedIn and Gmail/Outlook accounts are disconnected,
  • unused plan credits expire,
  • people, campaigns, conversations and bought credits are kept.

After you renew, reconnect the accounts in each client's Settings → Accounts and resume its campaigns. See Manage billing.

FAQ#

How many clients can I have?

Up to 500 active client workspaces per agency. Archived clients don't count.

Do client workspaces cost extra?

No. They're included in Agency / Team, Enterprise and the AppSumo Lifetime Agency deal. What clients use (accounts, credits, new people, storage) comes from your agency's allowance.

Can a client have their own Prosyo account too?

Yes. One person can belong to their own workspace and to client workspaces you invite them to, and switch between them from the workspace menu.

Can I move an existing teammate's data into a client workspace?

Not automatically. If you used one workspace with a member per client, keep running those campaigns there and start new work in the client's own workspace. Ask support if you need help with a move.
