Variables and personalization

Use merge fields like {{first_name}}, fallbacks, custom fields, AI first lines, research lines and live preview to personalize LinkedIn and email messages.

On this page

Variables#

Type a variable, or insert it from the variable list under the message box on any message step. Prosyo replaces it with each prospect's data when the message is sent.

To insert one, search the list if you need to (Search variables and custom fields) and click the variable. Prosyo asks what to use if the value is empty, with a suggested word already filled in for common fields. Change it or leave it blank, then click Insert.

VariableReplaced with
{{first_name}}First name
{{last_name}}Last name
{{full_name}}Full name
{{title}}Job title
{{company_name}}Company
{{location}}Location
{{sender.first_name}}First name of the LinkedIn account selected for that person on Sending & safety, in email steps too. If the campaign has no LinkedIn account selected, it's empty when sent (the preview still shows your own name), so always add your first name as a fallback, for example {{sender.first_name|Priya}}.
{{calendar_link}}The Booking link from Settings → Workspace
{{website}}Their company website
{{personalized_message}}The prospect's personalized first-touch line (see below)
{{custom.your_field}}Any custom field

Research & Intent variables#

When a person has been researched in Intent, their personalised lines are available in the Research & Intent group of the variable list. The list shows each one by name:

In the listVariableReplaced with
Icebreaker{{research.icebreaker}}A first line based on their post, role or activity
Reason to reach out{{research.hook}}The reason to write, as a short phrase
Connection note{{research.invite_note}}A connection note, under 300 characters
LinkedIn message{{research.linkedin_message}}A first LinkedIn message
Email subject{{research.email_subject}}An email subject
Email body{{research.email_body}}An email
Post topic{{research.post_topic}}The topic of their recent post
Company note{{research.company_note}}A fact from their company page
What they looked at{{intent.topic}}What they looked at on your website, in neutral words. Only usable when the campaign has Allow mentioning what they looked at on.
What they asked, in their words{{signal.quote}}A short quote from the public post or comment where they asked for what you sell. Only usable when the campaign has Mention their public post on.
What they need{{signal.need}}What they asked for, for example "a Shopify developer". Same rule as above.
Link to their post{{signal.url}}The link to that post. Same rule as above.

Mention their public post and Allow mentioning what they looked at are on the campaign's Sending & safety tab, under Intent and research, and both start off. A campaign won't launch while a step uses one of these variables with its option off; the step tells you what to switch on. See Sending limits and safety.

Always add a fallback, for example {{research.icebreaker|Hi {{first_name}},}}, for people who haven't been researched. If research is still being written when a step is due, the step sends your fallback. To wait for the research instead, turn on Wait for research before sending in the campaign's Intent and research options and choose how many hours to wait (1 to 72, 24 by default). After that, the fallback is used. Add an If / else → Research and personalised messages are ready step to send research-based steps only to people who have it.

Messages never mention a website visit unless the campaign allows it. Research lines written with that switched on are only used by campaigns that allow it; other campaigns use the step's fallback instead.

Fallbacks#

Some prospects will have empty fields. Add a fallback after a | so the message still reads well:

Text
Hi {{first_name|there}},

becomes "Hi Alex," or, when the first name is empty, "Hi there,".

Suggested fallbacks:

VariableFallback
{{first_name|there}}"there"
{{title|your work}}"your work"
{{company_name|your team}}"your team"
{{location|your area}}"your area"

Without a fallback, an empty variable is left blank. Prosyo never invents a value.

Example message#

Text
Hi {{first_name|there}},

Noticed {{company_name|your team}} is hiring SDRs. Most {{title|sales leaders}}s
I talk to want more meetings without adding headcount.

Worth a quick chat? Here's my calendar: {{calendar_link}}

{{sender.first_name}}

Write with AI#

On any message step except a voice note:

  • Write with AI drafts the step from your ICP, your AI instructions and the rest of the sequence.
  • Improve with AI rewrites your current text to be clearer and easier to read, keeping what it says.

The button reads Write with AI · 1 credit on an empty step and Improve with AI · 1 credit once there's text. Use the optional box next to it to say what AI should focus on, for example "shorter, mention the free audit". The writer reads the whole sequence, keeps your draft's facts, links and variables, and only uses variables Prosyo can fill. In a campaign fed by Intent, or one that already uses research lines, it uses the research lines with sensible fallbacks. Always read the result before launching.

To make AI sound like you, add rules in Settings → Workspace → Outreach / AI instructions, for example:

Write like a peer, not a salesperson. Under 60 words for LinkedIn. Never use "I hope this finds you well". Always end with a question.

Personalized first lines#

Each prospect can have a first-touch line: one opening sentence written for that person. Insert it with {{personalized_message}}.

Text
Hi {{first_name|there}}, {{personalized_message|hope your week is going well}}.

We help {{title|sales leaders}}s at companies like {{company_name|yours}} book more meetings.

Fill the first-touch line in any of these ways:

  • For many people at once: select prospects on the Prospects page and choose Enrich with AI → Write personalized line (2 credits each). See Enrichment.
  • For one person: open them in the prospect side panel and click Generate with AI · 2 credits next to Personalized message. It shows Generating… while the line is written, then fills it in. If there isn't enough information about the person yet, it says so instead of guessing.
  • By hand, in the Personalized message box in the prospect side panel.

Always add a fallback, because some prospects won't have a line yet. Preview with a real person shows exactly how it reads.

Tip

Want lines from another tool, such as Clay? Import them into a custom field, for example first_line, and use {{custom.first_line}}.

Preview with a real prospect#

Click Preview with a real person at the top of the Sequence tab to see the whole sequence as one real person will get it: visit, invite, messages and emails, with their data filled in. The same preview appears in the launch review.

  • Switch prospects to check people with missing fields. When you pick a sample prospect, High-intent people are listed first.
  • Each variable is marked amber when it's empty and would leave a gap, and blue when it's empty but your fallback covers it.
  • Click an If / else step to see the condition in plain words and whether it's Met for this prospect now or Not met yet.
  • The prospect card shows their Intent level (High intent or Warm), fit score, latest signal and whether research is ready.
  • Preview works on running campaigns too. You only need to pause to edit copy.
Tip

Preview three people before every launch: one with full data, one with no company, and one with no email.
