    Prosyo User Guide

    From first sign-in to a live LinkedIn + email campaign, unified replies, and qualified pipeline. Use this guide to configure your workspace, launch safely, and operate Prosyo day to day.

    Prosyo is the operating system for account-based LinkedIn marketing and synchronized email follow-up. You define who you sell to, bring those people into one workspace, run a personal sequence across LinkedIn and email, and answer every reply in a single inbox — without a CRM maze or a dozen extra tools.

    This guide is the full path from first sign-in to a live campaign and a qualified conversation.


    What Prosyo is (and is not)#

    Prosyo sits in the same category as the best ABM and LinkedIn outreach platforms: find the right accounts, reach the right people, personalize at scale, and convert replies into pipeline.

    It is built around one loop:

    1. ICP — describe the companies and titles you want.
    2. People — import real prospects from LinkedIn, Sales Navigator, a post, or a spreadsheet.
    3. Sequence — visit, connect, message, and email in one campaign.
    4. Inbox — every reply lands in one place; remaining steps stop automatically.
    5. Pipeline — move people from new → contacted → replied → interested → meeting.

    Prosyo is not a bloated CRM, a WhatsApp/Instagram sequencer, or a “spray and pray” email infrastructure product. v1 channels are LinkedIn + email only.

    Getting started#

    1. Create your account#

    Go to Prosyo and sign in with Google or a magic link sent to your email. There is no password to remember.

    2. Set up the workspace (onboarding)#

    A short wizard captures the facts the product actually uses:

    1. Company — name, website, timezone.
    2. Goal — meetings, pipeline, or similar outcome.
    3. ICP — who you sell to, in plain language (titles, industries, geography, company size). You can refine this later in Settings.

    Onboarding creates your workspace. Everything you import, send, or reply to stays inside that workspace.

    3. Connect LinkedIn#

    Go to Settings → Accounts and connect LinkedIn.

    Prosyo opens a secure connect flow. After you approve it, the account shows as connecting until it is healthy. Do not launch a campaign until LinkedIn is healthy.

    If the connection later needs attention, the notification bell and Accounts page tell you to reconnect. Campaigns wait instead of sending from a broken seat.

    Every workspace includes one custom SMTP email seat — campaign emails go out through your mail server. Connect it in Settings → Accounts.

    On a paid plan you can also connect a Gmail or Outlook mailbox for two-way email in Inbox (same place you handle LinkedIn replies).

    Transactional mail from Prosyo itself (sign-in links, billing receipts) is separate from campaign email.

    5. Import your first list#

    Open Prospects → Import. Choose a list (or create one) and pick a source:

    • CSV / Excel — map columns to name, title, company, LinkedIn URL, email, and custom fields.
    • LinkedIn search — paste a people-search URL; Prosyo uses your connected LinkedIn account.
    • Sales Navigator — paste a Sales Nav people-search or lead-list URL.
    • LinkedIn post — import people who engaged a post.

    Imports go onto a list. Lists are what you enroll into campaigns. Duplicates are skipped when Prosyo already has the same LinkedIn profile or email in this workspace.

    Prosyo does not invent emails. If a row has no email, email steps in a campaign will skip that person. Enrichment can try to find missing fields later — only when a source actually returns them.

    6. Create and launch a campaign#

    Open Campaigns → New campaign. Choose:

    • Start from scratch — connection request, then a LinkedIn message you write.
    • Use a template — LinkedIn-only, email-only, or LinkedIn + email.
    • Generate with AI — describe the offer; Prosyo drafts the sequence. Always review before launch.
    • Copy a campaign — duplicate a sequence that already works.

    Then:

    1. Write the steps (see Campaigns).
    2. Attach sending accounts and daily limits on Sending & safety.
    3. Enroll a list on Audience.
    4. Launch. Prosyo queues work inside your working hours. You do not need to keep the page open.

    7. Answer the first reply#

    When someone replies, three things happen:

    • The remaining campaign steps for that person stop (unless you turned that off).
    • The thread appears in Inbox.
    • The notification bell in the top bar points you there.

    Reply from Inbox. Move the prospect to Interested or Meeting when it is real pipeline — not when they only opened a message.

    That is the whole loop. Everything below is how each surface works.


    Your workspace#

    SalesGPT is the search bar at the top (“Ask SalesGPT about your pipeline…”). Press ⌘K / Ctrl+K. It is not a separate page.

    Notifications are the bell to the left of your profile. Click a row to go to Inbox, billing, or accounts. Use X to dismiss one item, Mark all as read to clear the badge.

    Admin users also see Admin. Everyone else does not.

    What never crosses workspaces#

    Prospects, campaigns, inbox threads, credits, billing, and notifications belong to this workspace. Teammates in another workspace cannot see them.


    Dashboard#

    Use Dashboard as the daily stand-up screen:

    • How many people are in play, how many campaigns are running, reply rate, positive replies.
    • Campaign leaderboard — who is getting conversations, not just sends.
    • Recent activity and activation checklist (connect LinkedIn, import, launch, handle a reply).
    • Add or import prospects jumps into Prospects with import open.

    Empty states always have one next action. If LinkedIn is disconnected, fix Accounts before you launch.


    Prospects#

    Prospects is your ABM roster: people, not anonymous companies.

    Table and board#

    Switch Table / Board. Table is for search, filters, and bulk work. Board is the pipeline by stage.

    Default stages:

    NewContactedRepliedInterestedMeetingCustomer (plus not interested / do not contact).

    A campaign send can move someone to Contacted. A human reply moves them to Replied. Sensitive stages (interested, meeting, do not contact) should be set by you.

    Do not contact suppresses future sends for that person.

    Import#

    Prospects → Import (or Dashboard “Add or import prospects”).

    Always pick a list first. Then:

    CSV / Excel

    1. Drop a .csv or .xlsx file.
    2. Confirm the sheet if there are several.
    3. Map headers to first name, last name, title, company, website, LinkedIn URL, email, phone, or a custom field.
    4. Unmapped columns can become custom fields — those fields are immediately available as sequence variables ({{custom.your_field}}).
    5. Submit. Progress survives refresh. The completion screen shows inserted / updated / skipped / failed.

    LinkedIn search / Sales Navigator / post

    Paste the URL, choose the connected LinkedIn account, set a max result count, and import into the list. Prosyo stores the profile it actually received. It will not fabricate a public URL or an email the source did not return.

    Lists, tags, custom fields#

    • Lists group people for a campaign audience.
    • Tags are filters, not lists.
    • Custom fields live in Settings → Custom fields and in the import mapper. Use them for segment, persona, or a personal first line.

    Enrichment#

    Select people → Enrich. You will see an estimated credit cost before you confirm.

    Two modes:

    • Enrich only — research and fill what can be found, with source and confidence. Empty stays empty.
    • Personalized line — write a one-to-one opener using workspace AI instructions (and optional extra prompt). Review it on the prospect before you rely on it in a campaign.

    Credits are only spent when work is accepted; failed lookups are not billed as success.

    Prospect drawer#

    Click a row to open the side sheet: identity, company, email, LinkedIn, stage, custom fields, personalized message, notes, and recent activity. Edit in place. Open LinkedIn in a new tab from the profile link.

    Intent (Enterprise)#

    Prospects → Intent is website-visitor intelligence for ABM, not a sixth top-level app.

    • Place the Prosyo tracking snippet on your site (Settings / Intent).
    • Identified companies appear — anonymous or unresolved traffic stays unresolved. Prosyo will not guess a company.
    • Review fit against your ICP, then add matching people to a list and enroll them in a campaign.

    If you do not have Intent, ignore this section. The rest of the product works without it.


    Campaigns#

    A campaign is one sequence + one audience + one set of sending rules.

    Create#

    Campaigns → New campaign → name it → pick a start mode (blank, template, AI, copy) → timezone.

    Templates:

    • LinkedIn connect & follow up — visit, connect, then messages after they accept.
    • Email sequence — multi-touch email using your SMTP seat or connected mailbox.
    • Multichannel: LinkedIn + email — warm up on LinkedIn, then email so you reach people where they answer.

    Sequence tab#

    Steps you add:

    Step What it does
    Visit profile Opens the prospect’s LinkedIn profile through your connected account (they can see the view).
    Connection request Sends an invite. Note is optional, max 300 characters. One invite per sequence.
    LinkedIn message Messages a 1st-degree connection. If they have not accepted yet, Prosyo waits and retries.
    Email Sends through your SMTP seat or connected mailbox. Needs a subject and body, and the prospect needs an email.

    Drag to reorder. Duplicate or delete a step. Expand a messaging step to:

    • Insert variables: {{first_name}}, {{last_name}}, {{full_name}}, {{title}}, {{company_name}}, {{location}}, {{sender.first_name}}, {{calendar_link}}, plus custom fields.
    • Add a fallback so empty data does not look broken: {{first_name|there}} → “Hi there,” if first name is missing.
    • Write with AI / Improve with AI — drafts from your ICP and current copy. Always read it before launch.
    • Pull from Settings → Templates.

    LinkedIn messages after an invite wait until the connection is accepted. You do not add a separate “wait” or “condition” block.

    Pause a running campaign before you edit the sequence.

    Audience tab#

    Enroll from a list. Each person is contacted at most once per campaign. People already enrolled, suppressed, or without a usable LinkedIn identity for LinkedIn-only steps are skipped with a reason — not silently invented.

    Sending & safety tab#

    This is where ABM-quality sending lives. Limits exist to respect LinkedIn and mailbox constraints and the working hours you set — not to “bypass” anything.

    Sending accounts

    • LinkedIn account for visits, invites, and LinkedIn messages.
    • Email account for email steps (SMTP seat and/or connected mailbox).

    Daily limits

    Presets: Cautious, Recommended, High volume. Then fine-tune:

    • Connection requests / day
    • LinkedIn actions / day (visits + messages)
    • Emails / day

    Save limits when you change the numbers.

    When a lead replies

    • Turn off remaining steps when they reply (on by default). The enrollment is marked replied; later LinkedIn or email steps for that person are not sent.

    Cancel an invitation if not accepted till

    • Turn on, then set days (1–30).
    • If they have not accepted by then, Prosyo withdraws the pending LinkedIn invite and skips later LinkedIn messages for that person. Email steps still send.

    Working hours

    Timezone, start/end time, and days of the week. Sends wait until the window is open.

    Launch#

    Use Launch. The review screen checks:

    • LinkedIn / email accounts selected and healthy
    • Sequence content (invite note length, empty messages, email subject)
    • At least one enrolled prospect
    • Plan / trial still allows sending

    Fix blockers, then confirm. Status becomes running. Use Pause, Resume, and Archive from the header. Add more prospects from a list while it runs.

    Reports tab#

    Filter by date range, channel, action type, and outcome.

    You will see sends over time, per-step sent/failed, and conversion cards (invite acceptance, response rate, positive replies). Numbers come from real enrollments and sends — not demo data.

    Progress on the campaign list is sends completed vs sends the sequence still owes. A reply that stops remaining steps does not jump the bar to 100%.


    Inbox#

    Inbox is the smart inbox for LinkedIn and email.

    • Left: threads (LinkedIn vs email, unread, assigned, positive, questions, meetings, snoozed, archived).
    • Center: the conversation. Reply, AI draft, AI summary.
    • Context: prospect, company, campaign, stage.

    Filters stay on one row; scroll them horizontally if needed.

    When you send a reply, it goes out through the same connected LinkedIn or email account as the thread. If that account needs reconnecting, Inbox tells you before you send.

    A reply on either channel stops the rest of that person’s sequence (default). You do not need to pause the whole campaign.


    SalesGPT#

    Open the top bar or press ⌘K / Ctrl+K.

    Ask operating questions, for example:

    • “Which campaign has the best reply rate this week?”
    • “Who replied but is still in Contacted?”
    • “Summarize positive replies on the UAE campaign.”

    SalesGPT only sees this workspace. It will not invent pipeline. If it proposes a change (pause a campaign), you confirm before anything runs.


    Notifications#

    The bell (top right, left of your name) is the alert surface.

    • Click the row to go there.
    • X dismisses that item for you.
    • Mark all as read clears the unread badge.
    • Notifications are per person in the workspace. Dismissing yours does not hide a teammate’s.

    Settings#

    Accounts#

    • Connect / reconnect / disconnect LinkedIn.
    • Connect the free custom SMTP seat (host, port, username, password, from name/email). Credentials are stored encrypted.
    • On a paid plan, connect Gmail / Outlook (or a custom IMAP mailbox) for two-way email.

    Status language is plain: healthy, connecting, needs reconnect, disconnected. Reconnect before you launch.

    Workspace#

    Company profile, timezone, booking/calendar link (used as {{calendar_link}}), members, and outreach / AI instructions. Those instructions steer AI writing and personalized lines so copy sounds like your team.

    Templates#

    Reusable invite notes, LinkedIn messages, and emails. Insert them from a campaign step.

    Custom fields#

    Define fields once. They show on prospects, in import mapping, and as {{custom.*}} variables.

    Billing#

    Choose a plan and billing interval. Currency follows how you pay (for example card/UPI in INR, or international checkout in USD/EUR). Names of payment processors are not part of the product UI.

    You can start, change, or cancel a plan. Cancel-at-period-end keeps sending until the period ends. If payment fails or the trial/plan ends, new launches are gated until billing is current. You can still open Settings, export, and manage the account.

    There is no pricing table in this guide — open Settings → Billing in the app for live plans.

    Credits#

    Credits power AI work: enrichment, personalized lines, some writing and classification. The Credits page shows balance and history. Packs are optional; monthly plans also grant credits when billing is active.


    How a day of sending actually works#

    You do not babysit a queue.

    1. Campaign is running.
    2. Each enrolled person walks the sequence in order, inside working hours, under daily limits.
    3. Profile visit and connection request use your LinkedIn account.
    4. LinkedIn messages wait until they are a connection.
    5. Emails send only if that person has an email and you selected an email account.
    6. If they reply, remaining steps stop (default).
    7. If they never accept, optional cancel invitation after N days withdraws the invite.
    8. If LinkedIn needs reconnecting, sending waits and you get a notification.

    Keep limits conservative on a new or recently connected account. “High volume” is for warmed seats with a real reply history.


    Integrations#

    Integrations is for pushing Prosyo events outward (for example a new reply or stage change). HubSpot, Slack, and signed webhooks can be connected from in-app dialogs. External CRMs that are not ready are labeled Coming soon — they are not fake live sync.

    v1 does not require a CRM to run outbound. Lists + Inbox + stages are enough.


    Playbooks#

    LinkedIn-first ABM (most teams start here)#

    1. Connect LinkedIn.
    2. Import a Sales Navigator or LinkedIn search for one ICP slice (one geography, one title family).
    3. Campaign: Visit → Connection request → LinkedIn message → LinkedIn follow-up.
    4. Limits: Recommended (or Cautious on a new account).
    5. Turn on cancel invitation if not accepted (for example 7–14 days).
    6. Live in Inbox for a week. Promote Interested / Meeting by hand.

    Multichannel (LinkedIn + email)#

    1. Connect LinkedIn and your SMTP seat (or a connected mailbox).
    2. Import people who have LinkedIn URLs; enrich only if you need emails you do not already have.
    3. Use the Multichannel template or AI brief: LinkedIn warm-up, then email.
    4. Stop-on-reply stays on so a LinkedIn “thanks” does not get a leftover email.

    Inbound-assisted ABM (Enterprise)#

    1. Install Intent tracking.
    2. Review identified companies that match the ICP.
    3. Add suggested people to a list.
    4. Run the LinkedIn-first playbook on that list only — not on the whole database.

    Empty merge fields are left blank if you do not set a fallback. That is better than inventing a name.

    Set calendar link on the workspace so {{calendar_link}} is real.


    If something looks stuck#

    You see What to do
    LinkedIn still “connecting” Wait on Settings → Accounts; it refreshes on its own. If it fails, connect again.
    Campaign running but nothing sent Check working hours/timezone, daily caps, and that the LinkedIn account is healthy.
    Invite sent, no messages They have not accepted yet. Prosyo waits. Optionally cancel unaccepted invites after N days.
    Email step skipped That prospect has no email. Import or enrich one — Prosyo will not guess.
    Launch blocked Read the review list: missing account, empty message, no audience, or billing/trial ended.
    “Needs reconnect” Settings → Accounts → Reconnect. Then resume the campaign. Overdue steps reschedule inside working hours — they do not dump all at once.
    Payment / plan notification Settings → Billing. Sending launches stay gated until the plan is active again.
    Import skipped rows Same LinkedIn URL or email already in this workspace. Open the existing prospect.

    What we will not do#

    • Message people on WhatsApp or Instagram from Prosyo.
    • Fabricate verified emails, visitor companies, or “they posted about X” personalization.
    • Pixel-copy another outreach tool. The workflows are standard; the product is Prosyo.
    • Send outside the working hours and daily limits you configured.
    • Mix one workspace’s prospects, inbox, or billing with another.
