Recommended structure#
| Setup | When to use it |
|---|---|
| One team per client | Clients must never see each other's data. Use the Team switcher to move between them. |
| One team with a campaign per client | Smaller agencies. Name campaigns and lists with a client prefix, for example ACME – CFOs UK. |
Each team has its own prospects, campaigns, inbox, integrations and billing.
Seats and senders#
- Each Agency / Team seat = one teammate login + 1 LinkedIn + 1 Gmail/Outlook.
- When a client's own team member sends from their LinkedIn, invite them as a Member. They connect their own LinkedIn and only see their own accounts and threads.
- Use extra SMTP/IMAP seats ($2/month) to send from each client's domain.
Onboarding a new client (checklist)#
- Create or switch to the client's team
- Set Settings → Workspace: the client's company, ICP, calendar link and AI instructions in the client's voice
- Connect the sender's LinkedIn and mailbox
- Import the client's target list
- Generate a sequence with AI using the client brief (example prompt)
- Preview with real prospects and get client sign-off
- Set Cautious limits for week one
- Connect a Slack channel for the client's replies
- Launch
Reporting to clients#
- Campaign → Reports: filter by date and export screenshots, or
- A webhook → Google Sheets or Looker Studio feed for live client dashboards. See n8n, Zapier or Make.
- HubSpot sync if the client uses HubSpot. See HubSpot.
Scale without risk#
- Keep each LinkedIn account under 20 invites a day. Add senders, not volume.
- Spread email over several mailboxes and domains.
- Watch the Account needs reconnect alert in Slack so no client campaign stalls.
Pricing your outreach service#

Automate it: send prospect.stage_changed and conversation.reply_received webhooks into a Google Sheet per client with n8n or Zapier.
Common mistakes#
- One client's lists mixed with another's. Use one team per client.
- Sending from a brand-new client LinkedIn at full speed. Start Cautious for 2 weeks.
- Client copy written without client input. Get sign-off on every message.
- No reconnect alert. A disconnected client account can silently stall a campaign. Route Account needs reconnect to Slack.
