The number that matters is not price per seat. It is cost per meeting booked — and on that measure the cheapest tool and the most expensive tool are frequently not the ones you would guess.

Two structural things jump out of that table, and they matter more than any individual number.

First, the billing unit is not the same across vendors. HeyReach charges per LinkedIn sender. Expandi, Skylead and Dripify charge per seat. Prosyo charges per workspace at the low end, then per seat, with additional sending accounts priced separately and much lower. Comparing “$19 vs $79” without knowing what the unit buys is meaningless.

Verdict: Prosyo and Waalaxy are the sensible entry points, and they differ in shape. Waalaxy caps you at 300 invitations a month, which is roughly 75 a week — close to the safe ceiling anyway, so it is less limiting than it sounds. Prosyo’s Starter gives you one active campaign but includes intent people and the AI assistant connectors. Everything from $59 upward is overpaying at this stage, unless you specifically need Expandi’s dedicated IP from day one.

The HeyReach rows are the important ones, and not only because of the price. When LinkedIn and email live in two different tools, stop-on-reply does not work across channels. Someone replies to your LinkedIn message, and your email tool — which has no idea that happened — sends the follow-up two days later. Verdict: the spread here is roughly $150 to $300 a month, or about $1,800 a year — real money for a small team, but not decisive on its own. At this size, judge on whether one reply stops every channel, whether the inbox is genuinely shared, and how good the targeting is. Skylead’s unlimited mailboxes and included warm-up genuinely justify its price if you are running high email volume.

Read this table carefully, because the naive reading is wrong in both directions.

Below about 15 senders, per-sender pricing hurts. An agency with 10 clients pays $790–$990 on HeyReach or Expandi versus roughly $250 on Prosyo. Over a year that is a $6,500–$9,000 difference, which for most small agencies is a hire.

Above 25 senders, the bundles get genuinely competitive. HeyReach’s $999-for-25 works out at $40 per sender, and its unlimited tier keeps falling. HeyReach is also the most agency-native product in the category — unlimited free client logins, VAs and teammates with no per-user fee, white-label workspaces, and an API and MCP server that are properly built rather than bolted on. Every one of these is a line item that does not appear on a pricing page but does appear on your card statement.

1. Mailboxes and sending domains — $5 to $200+/month

Almost no outreach platform includes email sending infrastructure. You buy the mailboxes. Serious cold email operations run several secondary domains with three or four mailboxes each, because you cap volume per mailbox to protect deliverability. Two conclusions follow, and the second is the more important one.

Software price is a rounding error next to your time. The difference between a $19 tool and a $99 tool is $80 a month. The difference between six hours a week of manual prospecting and two is about sixteen hours — worth roughly $960 at a modest rate. Optimise for the hours.

List quality beats both. A better list triples the output without changing the software line at all. Any tool decision that does not consider where the list comes from is optimising the wrong variable.
